ExamsAide Privacy Policy
This policy explains what personal information ExamsAide (Fordmetrics Solutions Limited) collects from learners, schools, agents and visitors, how we use and share it, how long we keep it, and your rights under the Ghana Data Protection Act 2012 (Act 843) and the Nigeria Data Protection Act 2023.

ExamsAide is operated by Fordmetrics Solutions Limited (trading as ExamsAide), a company registered in Ghana (“ExamsAide”, “we”, “us”). This policy explains what personal information we collect through the ExamsAide website (examsaide.com, learn.examsaide.com), the ExamsAide mobile apps, and our agent and school programmes; why we collect it; and the choices you have.
We comply with the Data Protection Act, 2012 (Act 843) of Ghana and, for users in Nigeria, the Nigeria Data Protection Act, 2023. Where we operate elsewhere, we apply the same standards.
1. Who this policy covers
- Learners — students preparing for BECE, WASSCE, Common Entrance and related exams, and parents or guardians acting for them.
- Schools — staff who buy or manage ExamsAide access for their pupils.
- Agents, ambassadors and regional managers — people who refer customers to ExamsAide under our agent programme.
- Visitors — anyone who browses our website or submits an enquiry.
2. Information we collect
2.1 Information you give us
- Account details: name, email address, mobile number, country, password (stored only as a secure hash), and the school or class you tell us about.
- Learning activity: courses you enrol in, quiz and test answers, scores, progress, time spent, and reports we generate from them (for example topic-by-topic performance).
- AI Tutor conversations: the questions you type to the AI Tutor and the answers it gives, so you can review past sessions and so we can improve the tutor. Do not enter personal information about other people in the AI Tutor.
- Payments: when you buy a package we record what you bought, the amount, currency, date and a payment reference. We do not see or store your card number, PIN or mobile-money PIN. Payments are processed by Paystack (see section 5).
- Enquiries and lead forms: name, email, phone, school, role and your message when you contact us or ask for a callback.
- Agent programme: if you join as an agent, ambassador or regional manager we also collect your region, referral code, payout method and payout details (mobile-money network and number, or bank name, account number and branch), and we record the referrals and commissions linked to your code.
2.2 Information collected automatically
- Device and usage data: device type, operating system, app version, language, IP address, approximate country (used to show the right currency and payment options), pages visited and actions taken, and crash or error logs.
- Cookies and similar technologies: session cookies needed to keep you logged in; a referral cookie (
ea_ref, kept for 30 days) if you arrive through an agent’s link, so the agent can be credited; and preference cookies such as your chosen country. - Mobile app data: the ExamsAide app may store course content on your device for offline use, and may ask permission to send you notifications. You can withdraw notification permission in your device settings at any time.
2.3 Information from others
- If a school buys ExamsAide for its pupils, the school may give us pupil names, classes and contact details to create accounts.
- If an agent refers you, we record that the referral came from that agent.
- Paystack tells us whether a payment succeeded or failed.

4. Children and students under 18
Many ExamsAide learners are under 18. We collect only what is needed to run the service and we do not show advertising to learners. Where a learner is under 18, we ask that a parent, guardian or school registers the account or gives consent. If you believe a child has given us personal information without consent, contact us (section 11) and we will delete it.
5. Who we share information with
We do not sell personal information. We share it only with service providers who help us run ExamsAide, under contracts that limit what they may do with it:
- Paystack — payment processing (card and mobile money). Paystack’s own privacy policy applies to the payment page.
- SMS providers (Nalo Solutions, Arkesel, Termii) — delivery of one-time codes, welcome messages and alerts to your mobile number.
- Email delivery provider — sending transactional email.
- AI model provider — [PROVIDER NAME, e.g. OpenAI / Anthropic / Google] processes AI Tutor questions and answers to generate responses. We send the conversation text and the subject context; we do not send your name, email or phone number.
- Hosting provider — the servers and databases that run the platform, located in [COUNTRY/REGION].
- Schools — if your account was created or paid for by a school, the school can see your enrolment, progress and results.
- Agents and regional managers — an agent can see that someone they referred has registered or bought a package, and the amount. They cannot see your learning activity.
- Authorities — where the law requires it, or to protect the rights or safety of ExamsAide, our users or others.
6. International transfers
Some providers above process data outside Ghana and Nigeria (for example in the European Union or the United States). Where this happens we take steps required by Act 843 and the NDPA, including contractual safeguards, so your information stays protected.
7. How long we keep information
- Account and learning data: while your account is active and for [12] months after it is closed, so you can come back and so schools can keep records for the academic year.
- Payment and commission records: [6] years, as required for tax and accounting.
- AI Tutor conversations: while your account is active, or until you delete them.
- Enquiries and leads: up to [24] months from last contact.
- One-time codes and session data: minutes to hours.
8. Your rights
You can ask us to:
- access the personal information we hold about you;
- correct information that is wrong or out of date;
- delete your account and personal information (see section 9);
- restrict or object to certain processing, including marketing;
- withdraw consent where processing is based on consent;
- receive a copy of information you gave us in a portable format.
To exercise these rights contact us using the details in section 11. We will respond within 30 days. You also have the right to complain to the Data Protection Commission of Ghana (dataprotection.org.gh) or, in Nigeria, the Nigeria Data Protection Commission (ndpc.gov.ng).
9. Deleting your account
You can request deletion of your account and data at any time by emailing [privacy@examsaide.com] from the email address on your account, or from the Profile page inside the app or website. We will delete or anonymise your personal information within 30 days, except records we must keep by law (such as payment records), which we keep only for the period in section 7.
10. Security
We protect your information with HTTPS encryption in transit, hashed passwords, access controls, and encrypted storage of payment-provider and SMS credentials. No system is completely secure, so please use a strong password and do not share your login details. Agents and managers must keep the login details we send them confidential.

12. Changes to this policy
We may update this policy from time to time. We will post the new version here with a new effective date, and for significant changes we will notify you by email or in the app.
